Terms & Conditions

Last updated:

1.Who we are

These Terms & Conditions (“Terms”) apply to every tour booked with Okawari Travels (“we”, “us”, “our”), a tour operator based in Tokyo, Japan, founded and led by our guide Alejandro.

  • Registered address: [registered address]
  • Business registration no.: [business registration no.]
  • Website: okawaritravels.com · Instagram: @okawaritours

“You” means the person who makes the booking and every guest included in it. By completing a booking, the lead booker accepts these Terms for the whole group and agrees to share them with the other guests.

2.Booking and contract

You can book through the booking system on our website. A binding contract is formed, and your booking is confirmed, only when we have received your full payment.

Once payment is received we send a confirmation email with your booking reference, the tour date, start time and meeting point. If it has not arrived within 24 hours, please check your spam folder and then contact us.

3.Prices and payment

Prices are shown in US dollars (USD) and include Japanese consumption tax. The full price is payable at the time of booking by credit or debit card. Payments are processed securely by our payment provider, Stripe.

We may change our prices at any time, but the price you paid for a confirmed booking will not change.

4.Cancellations, changes and refunds by you

Our groups are small and we reserve seats at each venue in advance for every guest. For that reason all bookings are final:

  • You cannot cancel a confirmed booking, and we do not give full or partial refunds, whatever the reason (including change of plans, illness, flight delays or unused parts of the tour).
  • You have no right to change the date. If you ask us as early as possible through Instagram DM (@okawaritours), we may move your booking to another date at our sole discretion and subject to availability.

We strongly recommend travel insurance that covers cancellation. Nothing in these Terms limits rights you have under mandatory consumer protection law that cannot be excluded by contract, including Japan’s Consumer Contract Act.

5.Cancellation by us

We may cancel or shorten a tour because of severe weather (for example a typhoon or an official weather warning), safety concerns, an emergency (such as an earthquake, a major transport disruption or illness of the guide), or because the minimum number of guests has not been reached. We will tell you as early as possible.

In that case you will receive a full refund of the amount you paid to your original card or, if you prefer, a new date. This refund is your sole remedy: we are not responsible for other costs such as flights, hotels or transport.

Replacing a venue with a comparable one (for example if a bar is full that night) is not a cancellation.

6.Punctuality, late arrival and no-show

Tours start exactly at the time in your confirmation. Because other guests are waiting and our venue bookings are timed, we cannot hold the group for late arrivals.

If you are running late, message us via Instagram DM (@okawaritours). We will try to tell you where to join, but we cannot guarantee it. No refund is given for late arrival, missed parts of the tour or no-show.

7.Age, ID and right of refusal

The legal drinking age in Japan is 20. Every guest must be 20 or older on the date of the tour. Please bring valid photo ID (passport, residence card or driving licence); we or the venues may ask to see it. A guest who cannot prove their age may be refused entry without refund.

We may refuse to start, or remove from the tour, without refund, any guest who is visibly intoxicated, aggressive or disruptive, who puts themselves or others at risk, or who breaks these Terms or a venue’s rules.

8.What is included and not included

Included: a local guide, the venue reservations, and the food and drinks listed in the description of the tour you booked.

Not included: any food or drinks beyond those listed. Drinks at the additional bars we visit are ordered and paid by you directly, typically ¥500–700 per drink; some small bars also add a seat charge. Transport to and from the meeting point, tips (not expected in Japan) and anything else not listed are also not included.

9.Alcohol, health and personal responsibility

Drinking is always optional and at your own pace, and non-alcoholic options are available. You are responsible for how much you drink, for your own behaviour and belongings, and for getting back to your accommodation safely.

Please tell us about food allergies, dietary needs and any health condition relevant to the tour (for example pregnancy, medication or limited mobility) when you book, and at the latest 48 hours before the tour. We will pass this information on to the venues and do our best to help, but small Japanese bars and restaurants share kitchens and cannot guarantee allergen-free food.

10.Conduct, Japanese law and venue rules

You must respect Japanese law, local customs, neighbours and each venue’s house rules (some bars do not allow photos, have seat charges or separate smoking areas). Illegal drugs are strictly prohibited; Japanese drug laws are severe. Please follow your guide’s reasonable instructions. You are responsible for any damage you cause to a venue or to other people’s property.

11.Our liability

We run our tours with reasonable care and skill. To the extent permitted by law:

  • our total liability to you in connection with a booking is limited to the amount you paid for that booking;
  • we are not liable for indirect or consequential losses, such as missed flights or loss of income;
  • the bars, restaurants and other venues we visit are independent third-party businesses. We are not responsible for their acts or omissions, their food and drinks, their prices or their premises.

Force majeure: we are not liable for any failure or delay caused by events beyond our reasonable control, such as natural disasters, earthquakes, typhoons, epidemics, government orders, strikes, transport disruption, fire or power cuts. Section 5 applies to any resulting cancellation.

Nothing in these Terms excludes or limits liability for death or personal injury caused by our intentional misconduct or gross negligence, or any other liability that cannot be excluded under applicable law.

12.Photos and video

Your guide may take photos and short videos during the tour. We may use them on our website, Instagram and other social media to promote our tours. If you would rather not appear, simply tell your guide at the start of the tour and we will not photograph you or will not publish images in which you can be recognised. If you later want a published photo of you removed, message us via Instagram DM (@okawaritours) and we will take it down within a reasonable time.

13.Intellectual property

All content on okawaritravels.com and our social media channels, including text, photos, videos, logos, tour routes and our bar map, belongs to us or our licensors. You may not copy, republish or use our content commercially without our written permission.

14.Privacy

We handle your personal data as described in our Privacy Policy, which forms part of these Terms.

15.Governing law and jurisdiction

These Terms are governed by the laws of Japan. The Tokyo District Court has exclusive jurisdiction as the court of first instance for any dispute, without prejudice to mandatory consumer protection rules of your country of residence where they apply.

16.Contact

For questions about your booking or these Terms, contact us via Instagram DM (@okawaritours) or the contact form on our website. Please include your booking reference.

17.Changes to these Terms

We may update these Terms from time to time. The version published on this page, with its “last updated” date, applies to bookings made from that date; your booking is governed by the version in force when you booked. These Terms are published in several languages; if the versions differ, the English version prevails unless the law requires otherwise.
